Customer Service
Responsibilities:
Communication with clients:
Interacting with clients through various channels (phone, email, chat) to address their questions, concerns, or requests promptly and courteously.
Conflict Resolution:
Investigating and resolving client complaints, providing appropriate solutions.
Client Records Management:
Maintaining accurate and up-to-date customer databases, including contact information and interactions.
Administrative
Responsibilities:
Data Entry:
Entering and updating information into databases.
Schedule and Calendar Management:
Assisting clients with changes in their schedules and calendars.
Filing and Document Management:
Organizing and maintaining physical and digital files for easy retrieval and record-keeping.
Office Support:
Ordering office supplies, managing inventory, managing invoicing and purchase orders and handling administrative tasks to support the team operations.
Skills and Qualifications Communication Skills:
Excellent verbal and written communication skills are essential for interacting with clients and colleagues effectively.
Problem-Solving:
The ability to analyze issues and find appropriate solutions for clients.
To excel at this position the ability to de-escalate a situation will be essential.
Organization:
Strong organizational skills are crucial for managing administrative tasks and maintaining records efficiently.
Time Management:
Efficiently handling multiple tasks and prioritizing them to meet deadlines.
Computer Proficiency:
Familiarity with various software and tools, such as Google suite, email clients, and customer service software, is important for administrative tasks and communication.
Being patient, attentive, and proactive in addressing customer needs is key to delivering a positive client experience.
